2. What information we collect and process

First of all, what does processing mean? The term “processing” is very broad. It essentially means anything that is done to, or with, personal information (including simply collecting, storing or deleting that information).

This Privacy Statement covers the processing of all your personal information when you visit our website or communicate with us via online queries and email.

a) Information we collect automatically when you access our website

As is true of most websites, we gather certain information automatically through your use of our website.  If you visit our website to only obtain information (in other words, you do not register with us or provide us information through other means, e.g., through entries in an online form), we collect only the personal information that your browser automatically transmits to our server log files. This information is necessary to present the website to you and guarantee its stability and security.

This information includes your IP address, date and time of the enquiry, time zone difference to Greenwich Mean Time (GMT), content of the request (concrete page), access status/status code, data volume transmitted in each case, website from which the request comes, browser type, Internet Service Provider (ISP), operating system and its interface, language and version of the browser software.

We store the above-mentioned information in our server log files. Any other information pertaining to your page visits is not stored.

Our system stores your IP address temporarily to improve the website’s stability and functionality, as well as for troubleshooting where required.

The above-mentioned information is erased as soon as their storage is no longer required to achieve the purpose. In the case of making the website available, this is after the end of the visit to the page. Log files are erased after a maximum of 10 days.

When you visit our website, we send one or more cookies – a small file containing a string of characters – to your computer or mobile device that uniquely identifies your browser.  We use cookies, tracking pixels and related technologies to improve the quality of our service by temporarily storing user preferences and tracking user trends, such as how people search our site and what pages in our site you visit.

We use tracking tools, including cookies, on our website:

  • To understand the activities and behaviors of our website visitors.
  • To recognize new or past visitors.
  • To improve our website and to better understand your visits on our platforms.
  • To better understand the interests of our website visitors.
  • To facilitate basic website functionality.

You can find more information about how we use online tracking technologies such as cookies, tags, and other codes from our Cookie Statement.

b) Information we collect when you contact us

When you contact us through an online query form on our website, we store the data that you provide (your name, country, state (USA and India only), city and your email address) in order to process your requests and where applicable to answer any questions you asked.

We may retain any communications in relation to your online queries in order to process your inquiries, respond to your requests and improve our services.

We erase the accrued data once storage is no longer necessary, or we restrict access if there are any statutory obligations to retain data.

c) Information processed by external service providers

KTSI controls the personal information that we collect. In some cases we use external service providers to process your data.

For example, we may use a third party service to collect donation information and provide credit card, bank, payment and information processing services. If you choose to use our donation page to make an online donation, you may be asked to provide your personal information such as your name, address, email address, phone number, credit card information and donation amount. We will share your personal information with our donation processing service providers. By using a third-party service, your information is subject to use based on the third party’s terms of service and policies. KTSI encourages you to review these policies carefully.

We do not gather this information without your permission. We can obtain your permission to gather before, during and after our donation service collects your information. Permission may be granted to us in the donations you make to us or in other forms that you complete online or offline. If you wish to make a donation in honor of or memory of someone, we promise not to use the information you give us about that individual for any other purpose.

We selected and commissioned these providers carefully, and they are checked as needed for compliance with our Privacy Statement. All third party services providers process your personal information only on KTSI’s behalf and are bound by contractual terms that are compliant with data protection law.

KTSI works with external service providers to improve and secure our website.  The following are types of external service providers KTSI may share your information with:

  • Analytics services;
  • Data and Website security providers;
  • Email delivery providers;
  • Online donation processing services; and
  • Service providers that may allow us to update and enhance our services.

We use Google Analytics to gather visitors’ use of our website and analyze the data to help us maintain and improve the design of our website.  Google Analytics uses cookies to scan usage in real time and over the long term. The data is generally transferred to U.S. servers and stored there; however because we have activated IP anonymization, Google must first truncate your IP address in an EU or European Economic Area (EEA) state (only in the event of technical outage in Europe, for instance, is the IP address first truncated in the USA). Google works on our behalf and guarantees not to merge data from Analytics with other Google Data.

KTSI has set the Data Retention controls for Google Analytics for 26 months. Once again, Google Analytics will not collect the internet protocol (IP) address used to connect your device to the internet.

It is important to mention that Google stores websites traffic information which have Google Analytics tracking code. Here’s the privacy overview of Google Analytics, and information about Google Analytics Cookie Usage on Websites. You can install the Google Analytics Opt-out Browser Add-on to prevent information about your visits to our website being sent to Google Analytics.

When you contact us through an online query form on our website, Google reCAPTCHA v3 scans the information you provide to detect potential spam and abusive website traffic. Your use of our online query form is subject to the Google Privacy Policy and Terms of Use. reCAPTCHA may only be used to fight spam and abuse on our website. reCAPTCHA must not be used for any other purposes such as determining credit worthiness, employment eligibility, financial status, or insurability of a user.

3. How long we store your personal information

We will retain your personal information for the period necessary to fulfill the purposes outlined in this privacy statement unless a longer retention period is required or permitted by law.

The criteria used to determine our retention periods include:

  • The length of time we have an ongoing relationship with you and provide our services to you
  • Whether there is a legal obligation to which we are subject
  • Whether retention is advisable considering our legal position.

4. How we share personal information we collect

When you submit an information request using our online forms (e.g. information request about specific events in a certain country or city), we will forward the personal information you provide on the form (name, email address, country, state (US only), city) to our subsidiary or affiliate in that country or city.

These third parties are governed by a similar data privacy framework and will protect your personal data in the best possible way while fulfilling the legal requirements, if any (e.g., GDPR in countries of European Union).

We collect information globally and primarily store that information in the United States. We may transfer your data from the European Economic Area (EEA) for processing in a territory outside the EEA that does not have the same statutory levels of data protection as the EEA.  When we do so, we utilize the Standard Contractual Clauses between us, KTSI, and the third parties, e.g., a subsidiary or affiliate, approved by the European Commission in order to ensure that your data has equivalent levels of protection.

You may contact us to request a copy of the Standard Contractual Clauses which we have entered into with the entity processing your data (please note that certain commercial information may be redacted).

5. How we protect personal information we collect

We review our data collection, storage and processing practices to ensure that we only collect, store and process the personal information needed to provide or improve our services. We take reasonable steps to ensure that the personal information we process is accurate, complete, and current, but we depend on our users to update or correct their personal information whenever necessary.

Organizational measures: We restrict access to personal information to KTSI employees, contractors and agents who need to know that information in order to deliver, operate, develop or improve our services. These individuals are bound by confidentiality obligations and the KTSI privacy code of conduct, and may be subject to discipline, including termination and criminal prosecution, if they fail to meet these obligations.

Help us to keep your data safe: The chance that a data breach occurs can never be eliminated, despite all the measures KTSI has implemented. In case you suspect something is wrong, please contact us immediately.

What if you don’t like cookies

You can change your browser settings to delete or prevent certain cookies from being stored on your computer or mobile device without your explicit consent.  The ‘help’ section in your browser should provide information on how to manage your cookie settings.
